Inventory by zone
Walk each office, conference room, storage area, reception space, and break room. Give every approved item a zone and quantity. Photograph grouped items after staff have removed personal property.
Separate what needs another workflow
Computers, drives, phones, and network equipment may contain data or require an approved recycling path. Paper records may require retention or secure destruction. Copiers, water dispensers, and specialty equipment may be leased.
Have the responsible manager approve what leaves. A removal crew should not decide asset ownership on site.
Building coordination
Reserve the freight elevator or loading dock.
Confirm insurance or vendor-access requirements with building management.
Protect the route and keep exits clear.
Choose a window that does not conflict with deliveries or tenant access.
Provide a site contact who can resolve scope questions.
Handoff sheet
Record the final furniture count, floor, elevator or stair route, disassembly needs, loading location, access window, and decision-maker. Share changes before the crew arrives so the estimate and schedule can be reviewed.
